Day-by-day timeline

Days 1–3

Kickoff & access setup

Kickoff call, systems access provisioned, workflow documentation begins, success metrics agreed in writing.

Days 4–7

Agent training

Agent trained on your specific workflow, edge cases documented, parallel shadow deployment begins.

Days 8–14

Supervised deployment

Agent processes real work alongside your team. Daily check-ins. Edge cases logged and resolved in real time.

Days 15–25

Autonomous operation

Agent handles volume independently. Weekly check-ins. Performance metrics tracked against agreed benchmarks.

Days 26–30

Evaluation & decision

Success metrics reviewed. Go/no-go decision. Full deployment proposal prepared if converting.

Example success criteria

Before the pilot starts, we agree on specific, measurable outcomes. Examples from past pilots:

Process 500 invoices with 99%+ accuracy over 30 days
Reduce lease application processing time from 4 hours to under 30 minutes
Handle 80% of Tier 1 support tickets without human escalation
Complete carrier qualification for 100 new carriers in 30 days
Process and file all prior authorisations within 24 hours of receipt

What happens at day 30

Targets met — convert to full deployment

Pilot fee credited toward first month. We propose the right package based on your volume and workflow needs.

Close but not quite — optional 15-day extension

For $2,500 you can extend the pilot to resolve remaining edge cases. Most clients who extend convert.

Targets not met — no ongoing commitment

You do not pay anything beyond the pilot fee. We conduct a full debrief on what we learned.

How to pick the right pilot workflow

The best pilot workflow has three characteristics: it is genuinely painful (your team hates doing it), it is high volume (100+ instances per month), and it is measurable (you can define what success looks like numerically).
